A request for progress update information will initially be received by email. The request details, the date that the update must be completed by, along with the date to be considered as the cutoff progress information. The progress cutoff date may be in the future in which case the updater will need to project progress for the interim period.
A link is provided within the request that can be used to access the progress update or if you have not already registered an XER toolkit account, a link will be provided to the registration page. Once logged in progress updates can be accessed via the top menu the list of progress requests can be filtered to show the ones that are not yet complete by checking this box.
In order to start entering progress update information click update now, a schedule extract based on a filter of the task that the requester requires update information for is displayed, click the update now buttons to raise the progress update form for each activity, in this example we are asked to provide start and finish dates, a percent complete, and there is also a box for any pertinent comments such as impacts or non-standard events that impact delivery of the selected activity.
The free entry boxes on the left are pre-populated with the current schedule status, the blue highlight within the start date indicates that the date is before the progress cut-off date i.e. considered to be an actual achievement date. You will notice the red error text that identifies the percent complete should be somewhere between zero and 100 since the activity is in progress, it is important to read and understand the specific error message displayed here since the condition will need to be rectified to submit the update. Other conditions that will also result in an error are completed activities by those with a completion date before the cutoff that are not 100 complete, conversely activities that have not started i.e. those with a start date beyond the progress cutoff point should be zero percent complete.
Once progress information has been updated click to save and you will see that the red update button has changed to reflect that this activity has been updated, as you can see for milestone updates, only a date is required along with any commentary notes.
Once progress information has been updated for all activities that have changed from the current schedule, the update must be submitted to the requester, which is done by clicking the submit button at the bottom of the screen.
Add an executive summary comment and then click to submit. The requester will be notified by email and at this point no further update information can be changed or added.
