Introduction
To begin raising requests for progress update information, we first need to create a report period.
Creating a report period
From the quick view menu choose progress requests and select the appropriate project. Click the button to add a report period and provide a reference description which might simply be the progress date but can also be used to provide specific information, such as here where we are referring to a financial report period.
Now enter the progress date which is the cutoff point in time for the progress achievements made the progress date can be in the past or in the future, in which case progress updaters will need to project the progress likely to be made up until that point. Once a report period has been defined, we can now begin the process of requesting progress from responsible individual.
Adding a request
Click to add a request, define the email address for the progress update provider, this is the address where the progress request will be sent for action and must also be the same as the one that is or will be linked to their XER toolkit account. It does not matter at this point whether the update provider has registered an account yet as instructions for doing so will be provided.
Now we can either choose a pre-existing filter or define one by clicking the edit button.
Filtering requests
Using the task filter form is the same as within the schedule viewer, which is demonstrated in a separate video, so for the purpose of this video we will generate a four week look ahead from the schedule’s existing progress date or data date to P6 users. We will also exclude tasks that are already complete and using activity codes we will filter by procurement activities and click apply. Now enter the date that the updater should complete and provide their update by.
If we have predefined a schedule layout that we want progress inputters to use, then select here. Tick to allow inputters to provide additional task information and if using activity steps, you can check this box to link the sub-task detail with the predefined steps. Provide any specific update instructions and then click ok.
Once the request has been updated click to send, check and alter the details if required and click send. An email will be sent to the updater’s address containing instructions repeat the process for all progress requests required.
