How to register and log in with XER online

To register for XER Schedule Toolkit, please follow these steps.

First, navigate to our website and click on the sign-in button before the sign-up option located at the bottom of the screen.

When providing your details, if you’ve pre-purchased a package, kindly utilise the XER email address assigned to you or your company rather than a personal email account.

Upon submission, an activation email will be dispatched.

After you’ve accepted the activation email, your account will be verified, granting you access to log in.

If your company has already procured a package, you may begin using the XER Schedule Toolkit immediately. Alternatively, you can begin a subscription or take advantage of our 30-day complimentary trial.

How to manage licence holders within a subscription package

If you possess an XER licence package, you can allocate additional licenses to specific users.

To activate this feature, please hover over and select ‘Manage Account’ located at the top right of your XER homepage. From there, you can administer licence emails that can be distributed to associates.

The Toolkit also facilitates the distribution and revocation of licences, simplifying the management process when individuals join or leave the organisation.

Users must be registered with the same email they signed up for XER with, and you must update the list each time you exit the ‘Manage Account’ section.

How to import Primavera P6 XER or Microsoft Project MPP files

Importing Primavera P6, Microsoft Project MPP, and XML files is a straightforward process with the XER Schedule Toolkit.

Located at the bottom left of your project page, an easily identifiable green banner labelled ‘Import MPP or XER files’ provides access to the import function.

Upon clicking, your file navigation window will appear, allowing you to select the specific file for upload. Once imported, the file will be accessible within your project area. In cases where the file contains multiple projects, you can filter in or out the projects as necessary.

Following each import, your homepage will promptly update. The Toolkit is capable of analysing multiple projects as a unified entity, and an intuitive toggle button facilitates the highlighting or concealing of specific projects.

How to share project viewing access with other toolkit users

To share project viewing access with other toolkit users, easily click the identifiable share button on the project. There, you will create a “share team” which can be made up of an individual or an entire company.

The Toolkit will guide you through the process, starting with naming the team, before adding all the emails of the people you need to add. Once created, you can add and remove people as needed.

XER Schedule Toolkit does not limit how many teams can be formed, and the moment they are invited in, they can visualise all projects in a ‘read-only’ document inside the team’s database list.

How to assign a project baseline

In XER, projects can be assigned with a corresponding baseline, similar to Primavera 6. The baseline icon is located adjacent to the “share” button within the projects folder. Clicking on the baseline icon will enable you to import files and select relevant projects.

Upon selection, the screen will refresh, and the baseline information will be saved. The presence of an orange border within the project activity page will indicate the attachment of the baseline. The project to which the baseline is assigned will display a ‘yes’ tab, signifying that it has been updated.

To remove a baseline, click on the pencil icon next to ‘yes’ and select the ‘no primary baseline’ option before updating and relocating the newly detached baseline away from the main page.

How to cancel a subscription

While we hope you continue to benefit from the XER Schedule Toolkit, we respect your decision should you choose to discontinue your subscription.

Should you decide to terminate your subscription, please navigate to the ‘manager account’ section where you will find a red button labelled “stop subscription”.

After confirming your decision, please allow up to 24 hours for processing. In the event that a payment is processed within this timeframe, a refund will be issued to you.

Deleting a project from the database

To delete a project, first select the one you want to remove, and then click the ‘delete project’ button at the bottom of your screen. You can delete multiple projects at once by holding down the “Ctrl” button on your keyboard. Any baselines you have previously attached will also be withdrawn.

How to view the critical path of a schedule

There are several ways to view the critical path using the XER Schedule Toolkit. The quickest way is to click the ‘schedule’ tab, which will give you a critical path link which opens up everything you will need.

It will be in date sequence with vital areas such as Work Breakdown Structure automatically organised for you. If you want the critical path organised differently, you can filter the chart to your liking.

Please ensure you’ve hit the refresh button once you’ve adjusted to your means, then finish by hitting update.

How to check activities that have been deleted or renamed

The Toolkit’s integrated Schedule Comparison feature enables users to review activities that have been deleted or renamed.

To utilise this function, navigate to the ‘Reports and Analysis’ tab and select Compare Projects. The Toolkit is capable of performing comparisons across multiple projects, whether they are ongoing or completed.

The Toolkit will conduct numerous background comparison checks and will organise the results in a user-friendly window format.

Accessing the ‘task’ category will provide a comprehensive report outlining the identified changes, presented in subsections such as ‘Early start’ and ‘WBS code’.

Users also have the ability to view all historical activities in their original format for reference purposes.

Producing a Gantt chart in a Microsoft Excel worksheet

The XER Schedule Toolkit offers a streamlined process for converting project information into an Excel spreadsheet.

Within the Schedule section, users have the flexibility to edit the data for conversion by utilising the layout tools positioned on the left-hand side or by collapsing rows.

Upon finalising their data, users can initiate the conversion process by selecting the ‘Export to Excel’ button and opting for the Gantt chart format.

Subsequently, the Toolkit will generate a sharable spreadsheet compatible with Excel for seamless distribution.

How to produce an S Curve without cost or resource

An integral component of any project involves the creation of S Curves for various project segments.

The XER Schedule Toolkit eliminates the need for external resources or additional costs when doing this.

The Toolkit generates S Curves based on the number of tasks that commence or conclude within a specified timeframe.

Through the Dashboard Creator feature, users can select the appropriate path based on the type of S Curve they wish to generate.

Furthermore, users can overlay data by clicking on ‘add data series’ to compare and contrast elements such as cost, start time, and finish time.

Our comprehensive chart settings offer the flexibility to customise colours, formats, patterns, and the presentation order of the data series.

How to revise a project schedule with the latest update

In the context of a project’s dynamic nature, it is imperative to ensure that all involved parties are adequately informed and that users are experienced in revising project schedules in the event of updates.

To accomplish this, users should locate the hamburger menu icon, symbolised by three lines beneath the ‘options’ tab.

Subsequently, a prompt to import the latest version will appear on the screen; users should proceed by selecting to retain or delete the original project based on their specific circumstances.

In the event of choosing to delete, it is essential to ensure that the updated file is selected before the Toolkit completes the saving process into the database.

How to produce a schedule adherence report for incomplete milestones

To generate a schedule adherence report for incomplete milestones, begin by accessing the Dashboard Creator feature.

Instead of selecting ‘click to add chart’, navigate to the add sign located on the left side of the screen to access options for choosing the data type.

Opt for Schedule Adherence within the Toolkit, and then choose either the start or finish times of a project.

Filters can be applied to the charts, but it is crucial to ensure that in the Activity Status section, all options except ‘completed’ are selected, and in the Activity Types section, ‘start and finish Milestones’ are chosen before updating the report.

The standard report will be presented in the form of a pie chart, although there are five alternative designs available for selection.
