The XER toolkit allows you to share viewing access to a project with other toolkit users without expensive Prima Vera P6, ASTA power project, or Microsoft Project licenses.

To do this click the share button on the right of the project you want to distribute, the toolkit’s share facility works on the principle that people with common interests such as a department or people working on a particular portion of a project will want to have access to the same filters layouts and dashboards, these groups are called share teams.

A share team can be made up of any number of team members from an individual to an entire organisation, if you have not yet used the share function, then the toolkit will guide you through the process of setting up a new share team and adding team members.

You should start by giving your team an appropriate name, for this example we’ll be using construction department. Next, add the email addresses that each person on the team uses for their XER toolkit account. You can then choose whether to share units and costs information with the team, the XER toolkit will then create your share team.

If you wish to add more people as team members click the plus button on the right and then add the new email addresses. To remove someone from a share team click the cross next to their email address. You can add more teams by clicking the plus button on the left and repeating the process.

Once a project has been shared with a team the users within the team will immediately be able to see the shared project within their database list they will have read only access to view and analyse the project using the XER toolkit’s full range of features.
